Google Business Profile and review management for HVAC companies

Paradigm Media Networks manages the Google Business Profile and review flow for US HVAC contractors: categories, services, weekly posts and photos, answered questions, review requests after every completed job, replies to every review, and clean listings across directories. It is included in every HVAC SEO plan from $1,200 a month, or available standalone on a custom quote.

What does HVAC Google Business Profile management include?

HVAC Google Business Profile management is the weekly work of keeping your Google listing complete, accurate and active, so Google can match it to the searches and suburbs you want, and homeowners choose you once they see it.

Key takeaways

  • Google says local results are ranked on relevance, distance and prominence, and that more reviews and positive ratings can help local ranking. The profile and the review flow are the two levers an HVAC company controls most directly.
  • Recency now decides trust: BrightLocal's 2026 survey found 74% of consumers look for reviews from the past three months, and 31% will only use a business rated 4.5 stars or higher.
  • We ask every customer for a review. Google's policy bars businesses from selectively soliciting positive reviews, so we do not use "happy customers to Google, unhappy customers to a form" funnels.
  • GBP and review management is included in all PMN HVAC SEO plans. The Multi-Location plan adds review and reputation management across every location.

At PMN it covers the tasks below, on a fixed rhythm.

TaskHow oftenWhy it matters for an HVAC company
Primary and secondary categories reviewedAt set-up, then quarterlyThe primary category ("HVAC contractor", "Air conditioning contractor", "Heating contractor") decides which searches you are eligible for. We choose it by the work you most want, not by habit.
Services and service descriptionsAt set-up, then when you add a serviceHeat pump installation, ductless mini-splits, maintenance plans and emergency repair should each be listed, not left as one line.
Service areas and hoursAt set-up, then on any changeService-area businesses should hide their home address and keep the area within roughly two hours' drive, per Google's guidelines. After-hours availability must match what your phone actually does.
PostsWeeklySeasonal offers, maintenance plan reminders, rebate updates and recent job write-ups show the profile is active.
Job photosWeekly, from your techniciansReal equipment and real installs, taken by your team's phones, not stock images.
Questions and answersMonitored weeklyUnanswered questions get answered by strangers. We answer them and seed the common ones (financing, brands serviced, emergency call-out).
Edits by Google or the publicMonitored weeklySuggested edits can change your hours, phone number or category without warning. We catch and correct them.

How does PMN run review generation for HVAC companies?

PMN runs HVAC review generation as a process tied to job completion: when a job is closed, the customer gets a short review request by text, with a direct Google review link and the technician's name. Every customer gets the same ask. Nobody has to remember to do it.

How we set it up

  1. Connect the trigger. Where your field service or CRM software (ServiceTitan, Housecall Pro, Jobber and similar) allows it, the job-complete status fires the request. Where it does not, we work from a daily list of completed jobs.
  2. Write the request with you. Short, personal, names the technician, links straight to the review form. The scripts we start from are published in our HVAC review generation playbook.
  3. Send one reminder, then stop. A single follow-up a few days later. More than that annoys customers.
  4. Tag requests by job type. Repair, install, maintenance. So we can see which services are earning reviews and which are not, and adjust where requests go out.
  5. Watch velocity, not just the total. A steady flow every week matters more than a one-off push. Reviews from three years ago do little for a homeowner checking you today.
Four-step HVAC review flow: job closed, text request sent with Google link, one reminder, every review replied to

Why recency gets the attention: in BrightLocal's 2026 survey of 1,002 US consumers, 74% said they look for reviews from the past three months, and 32% look for reviews from the past two weeks.

What we will not do with your reviews

Review generation is where HVAC profiles get into trouble, so the rules are part of the service.

  • No review gating. Google's user-contributed content policy says businesses may not "selectively solicit positive reviews from customers." We send the same request to every customer, satisfied or not. Some review tools still offer a "rate us first, then go to Google if you gave 5 stars" flow. We do not use it.
  • No incentives. Google's policy bars offering payment, discounts or free services in exchange for reviews. The FTC's final rule on fake reviews and testimonials (announced 14 August 2024) bans compensation conditioned on a review's sentiment and lets the FTC seek civil penalties.
  • No fake, employee or bought reviews. The FTC rule covers fake reviews and undisclosed insider reviews. Google treats employee reviews as a conflict of interest.
  • No pressure to remove negative reviews. The FTC rule bans review suppression through threats or intimidation. We reply, fix what can be fixed, and flag only reviews that genuinely break Google's policy.

What is HVAC review management, and how fast do replies go out?

HVAC review management is the work of reading, replying to and acting on every review your business receives, and escalating the ones that need you. It is what turns a stream of reviews into trust rather than a list of complaints nobody answered.

BrightLocal's 2026 survey found 89% of consumers expect business owners to respond to reviews, 81% expect a reply within a week, and 50% are put off by generic or templated replies. So our replies are written for each review, name the job where it helps, and never paste the same line twice.

  • Positive reviews: a short, specific thank-you that names the job where it helps.
  • Negative reviews: we alert you the same day, draft a calm reply that acknowledges the problem and moves it offline, and agree it with you before posting. We do not argue in public.
  • Reviews that break policy (spam, conflicts of interest, off-topic or offensive content): we report them through Google's tools and keep a record. Google decides whether to remove them; nobody can promise removal.
  • Patterns: if three reviews in a month mention late arrivals, the report says so. That is an operations problem, and fixing it does more than any reply.

Local and Metro plans vs Multi-Location. Every HVAC SEO plan includes the review system: requests after every job, monitoring and replies. The Multi-Location plan adds review and reputation management across every location, so each branch is monitored, compared and reported side by side.

Do you manage HVAC listings and citations outside Google?

Yes. HVAC local listing management means keeping your business name, address, phone number, hours and categories consistent across the directories Google and AI tools read, so nothing contradicts your Google Business Profile.

  • Citation cleanup is part of every HVAC SEO plan: we find duplicates, old addresses, wrong phone numbers and closed listings, then correct or merge them.
  • Priority sources for HVAC: the major maps (Apple Business Connect, Bing Places), review sites (Yelp, BBB, Angi, Nextdoor), and manufacturer dealer locators for the brands you install. The full list is in our HVAC citations and directories list.
  • Why it matters for AI search: ChatGPT, Perplexity and Google's AI features pull business facts from these sources. If they disagree, the engine is less likely to name you. In BrightLocal's 2026 survey, 45% of US consumers had used ChatGPT or another AI tool for local recommendations, up from 6% the year before.

What happens if an HVAC Google Business Profile gets suspended?

A suspended profile disappears from Maps and the Map Pack until Google reinstates it, and for an HVAC company that can mean months of lost calls. Prevention costs far less than recovery, so suspension risk is part of how we manage every profile.

The cost is real. In August 2026, ACHR News reported that NW Mechanical, a Washington HVAC company in business for more than 50 years, had its profile locked for about nine months, reinstated, then suspended again, with more than 100 reviews hidden for a time. The owner estimated losses of $300,000 to $500,000, revenue down 15% to 20% a month for six months, and four layoffs. The article does not say what triggered the suspension.

What we do to lower the risk

  • Keep the business name exactly as it appears on your signage and paperwork, with no added keywords or city names. Google's guidelines say unnecessary information in the business name is not permitted.
  • Hide the address if you are a service-area business with no staffed storefront. P.O. boxes and virtual offices are not acceptable addresses under Google's rules.
  • Keep one profile per real location. No duplicate profiles for services or nearby towns.
  • Make changes in small, documented steps rather than rewriting the whole profile in one sitting.
  • Keep a verification file ready: contractor license, business registration, utility or bank statements, EIN documentation, photos of the shop and vehicles. ACHR's sources recommend exactly this.
  • Keep the profile consistent with any Local Services Ads or Google Ads account. ACHR quotes a consultant warning that mismatches between profiles and ads may trigger suspensions as Local Services Ads move into Google Ads.

If you are already suspended: we document the profile as it stands, file one well-prepared reinstatement request with the evidence, and avoid flooding Google with repeat tickets. We cannot promise a timeline or an outcome; reinstatement is Google's decision. Ask us on the call how we would approach your case.

How do you report on Google Business Profile and review results?

We report HVAC Google Business Profile and review results as calls and booked jobs first, and profile metrics second. Profile views are a means, not the result.

Every monthly report includes:

  • Calls from the profile and from the website, tracked and separated into answered, missed and qualified.
  • Profile interactions from Google Business Profile performance data: calls, direction requests and website clicks.
  • Map Pack grid results for your main services across your service area.
  • Reviews: new reviews this month, average rating, review velocity over 90 days, reply rate and reply time.
  • Listing health: citations fixed, duplicates merged, edits caught.
  • Next month's plan, in plain English.

How much does HVAC Google Business Profile and review management cost?

HVAC Google Business Profile and review management is included in every PMN HVAC SEO plan, and available on its own, on a custom quote, for contractors who only want the profile and reviews handled.

OptionPriceWhat you get
Standalone GBP and review managementCustom quoteScoped to your profile, locations and review needs after a free audit. Get a quote
HVAC SEO Local$1,200/moProfile management, review system, citation cleanup and grid tracking for one location, plus technical SEO, 4 service or area pages, 12 blog posts, 6 earned links, AI search tracking and call tracking
HVAC SEO Metro$2,500/moEverything in Local for up to three service areas, plus seasonal page sets and fortnightly reporting
HVAC SEO Multi-Location$4,000/moEverything in Metro across every location, plus review and reputation management and a live dashboard

SEO plans have a three-month minimum, then month to month, with a $1,000 setup fee waived on six months. Every deliverable is listed on the HVAC SEO packages page.

Which to choose: if your profile is strong but your website gives Google little to match it with, the profile alone will hit a ceiling. In our HVAC case study, the profile work ran alongside seasonal service pages published ahead of each season. That combination is what moved calls from 10 to 12 a month to 80+. Standalone management makes sense when your site and content are already in good shape, or handled by someone else.

Who HVAC GBP and review management is not for

This service is probably not the right fit if any of these describe you.

  • You want reviews removed on demand. Nobody can guarantee removal of a genuine negative review, and pressuring customers to delete reviews can breach the FTC rule.
  • You want a review funnel that filters out unhappy customers before they reach Google. We will not build it.
  • You have no way to trigger requests after a job and no one to send them manually. We can set up the system, but it needs jobs closed in software or a daily list.
  • You need calls this week. Profile and review work compounds over weeks. For immediate demand, see our HVAC marketing agency service for Google Ads and Local Services Ads.

Common objections from HVAC owners

"My office manager already posts on the profile."

Posting is the smallest part. The gains usually come from categories, services, review velocity, replies and listing consistency, checked against a grid of rankings each month.

"Can't I just buy review software?"

You can, and the software is a fair choice for the sending. What it does not do is choose your categories, write replies, catch edits, fix citations or tell you which suburbs you lose. Some tools also ship with gated "rate us first" flows that breach Google's policy.

"Why PMN?"

Weekly profile work, a policy-safe review process, Map Pack grid reporting and AI search tracking, run by the same team that runs your HVAC SEO. One HVAC company per service area. Three-month minimum on SEO plans.

HVAC case study: profile and reviews as part of the system

A single-location US HVAC contractor (anonymised at the client's request) went from 10 to 12 inbound calls a month to consistently more than 80 within four months, with $0 ad spend. Google Business Profile views rose 320%.

The profile was rebuilt and worked weekly, review velocity moved it into the Map Pack, and peak-season and off-season page sets were published ahead of each season. Sources: call tracking and Google Business Profile insights. Read the full case study.

HVAC Google Business Profile and review management FAQ

Is it against Google's rules to ask HVAC customers for reviews?

No. Asking customers for reviews is allowed. What Google's policy prohibits is offering incentives for reviews, discouraging negative reviews, and selectively asking only customers you expect to be happy. PMN sends the same request to every customer after every completed job.

Can you remove negative reviews from my HVAC Google Business Profile?

No one can remove a genuine negative review on request. PMN replies to it, helps you resolve the issue, and reports reviews that break Google's policy (spam, conflicts of interest, offensive content) through Google's tools. Google decides whether those are removed.

How many Google reviews does an HVAC company need?

There is no fixed number. What matters is how you compare with the contractors above you in the Map Pack, and how recent your reviews are. BrightLocal's 2026 survey found 74% of consumers look for reviews from the past three months, so a steady weekly flow beats a large old total.

How often should an HVAC company post on its Google Business Profile?

PMN posts weekly for HVAC clients, timed to the season: cooling offers and AC tune-ups before summer, furnace and maintenance plan posts before winter, rebates and replacement financing in the shoulder months. Regular posts and fresh job photos show the profile belongs to an active business.

Is Google Business Profile management included in PMN's HVAC SEO plans?

Yes. Every HVAC SEO plan, from Local at $1,200 a month, includes Google Business Profile management, Map Pack grid tracking, a review system and citation cleanup. The Multi-Location plan at $4,000 adds review and reputation management across every location. Standalone management is priced on a custom quote after a free audit.

What should I do if my HVAC Google Business Profile is suspended?

Gather proof of the business: contractor license, registration, utility or bank statements, and photos of your shop and vehicles. File one complete reinstatement request rather than several tickets. Then fix the cause, often a keyword-stuffed name, a wrong address setting or a duplicate profile, so it does not happen again.
