Business owner comparing proposals to decide how to choose an SEO company

How to choose an SEO company comes down to proof you can see before you sign. Score each agency on the same 10 checks. Three decide on their own: does it report on calls and booked jobs, will your business own the analytics, Search Console, Business Profile and ad accounts, and can you leave after a short minimum term? Fail any of those, or guarantee a #1 ranking, and the agency is out.

Key Takeaways:

  • Rankings can rise for months while the phone stays quiet.
  • Your business owns every account. The agency gets access.
  • One ChatGPT screenshot is not AI search tracking.
  • Under 15 out of 20 on the scorecard, keep looking.

If you’ve hired an SEO agency before, you know the monthly PDF: green arrows on rankings, and a phone that rang as often as before. The second hire is where you get fussier. We’re an SEO company ourselves, so apply every check to us too.

How to Choose an SEO Company: The 10-Point Scorecard

Score each check 0 for a red flag, 1 for a vague answer, 2 if they show you something. Checks 1 to 3 are must-pass: one zero there and the agency is off the list.

Checks 1 to 3: reporting, ownership and the way out

Ask the agency to open, on screen, a report it sent a real client last month. For a plumber or HVAC company, it should show calls and form fills by source, ideally matched to booked jobs. A traffic graph alone is what you’ll get every month.

Rankings and calls drift apart because an agency can rank you for “how to reset a thermostat,” which brings readers rather than buyers, or for towns you don’t serve. Ask what share of their tracked keywords a customer would actually call from. If they can’t split the list that way, they haven’t thought about it.

Next, ownership. Create GA4, Search Console, Business Profile and Google Ads under your business email, then add the agency as a user. Google’s advice on hiring an SEO says an audit needs only read access to Search Console. If a past agency still holds yours, our guide to switching agencies without losing calls covers getting them back.

Three months is a fair minimum term, then month to month, and anything written for you stays yours. Our agreements work that way.

Checks 4 to 7: what the fee actually buys

Get the price and monthly deliverables in writing. When scope is vague, the same fee tends to buy less every quarter.

A useful case study has a start number, an end number and a timeframe. One of our case studies: a single-location HVAC contractor went from 10 to 12 inbound calls a month to more than 80 within four months, on local SEO alone, with no ad spend. It’s one location in one market, and a good agency says so up front. Our SEO for moving companies and SEO for HVAC contractors comparisons show sector fit in practice.

AI search is on the list because fewer people click through. Pew Research found Google users clicked a regular result on 8% of visits that showed an AI summary, against 15% when there wasn’t one. Ask how the agency checks whether ChatGPT, Gemini and AI Overviews mention you. A solid answer is a fixed set of buyer prompts, run repeatedly on several engines, which is how our AI search optimization team reports it.

Checks 8 to 10: timing, fit and everything around SEO

For a local business, calls and Business Profile views should move by month three or four. Competitive national terms take longer. Page one in 30 days is a sales line.

Multi-location brands need a local SEO company that has run several service areas at once. SaaS teams have their own checks in our SaaS SEO agency guide.

Check 10 is the one buyers forget. With SEO and Google Ads at different vendors, you can pay for clicks on searches you already rank for, and the SEO agency usually can’t fix the landing page it flags. Ask who owns that overlap.

What $1,500, $3,000 and $5,000 a Month Should Buy

Our published tiers, as a benchmark for any proposal:

Monthly budgetFitsWhat should arrive each month
$1,500One location, one service area12 posts, 4 service pages, 6 backlinks, 75 AI prompts tracked, Business Profile work, monthly report
$3,000Several services or cities16 posts, 6 service pages, 10 backlinks, 150 prompts on 6 engines, location pages at scale, report every two weeks
$5,000Multi-location or competitive markets25 posts, 10 service pages, 15 backlinks plus digital PR, 250 prompts, live dashboard

Each tier also includes ad management (see our pricing). If a proposal at the same fee promises much less, ask where the money goes. The SEO ROI calculator shows how many booked jobs cover the fee.

SEO Company vs Freelancer vs In-House

OptionBest forWatch for
FreelancerOne site, one clear gapOne person’s hours
SEO companySeveral skills at onceJuniors doing the pitched work
In-houseLarger firms publishing weeklyOne hire can’t cover every skill

To decide, count the skills the next six months need. One, like cleanup after a site migration? A good freelancer is usually the better buy. Four or five at once means a team, agency or in-house. The costly mistakes are paying agency fees for a one-skill job, or asking one freelancer to cover five.

Red Flags When Hiring an SEO Company

  • A guaranteed #1 ranking. Google says nobody can promise one.
  • Cold emails offering to fix your SEO.
  • Backlinks sold by the hundred.
  • Changes made to your site that nobody explains.

Frequently Asked Questions

How much does an SEO company charge per month?

Most small and mid-sized service businesses pay $1,500 to $5,000 a month. Compare what gets delivered, not just the fee.

How long does SEO take to show results?

Local calls usually pick up within three to four months. Competitive terms can take six to twelve.

How do I know if an SEO company is legit?

It shows you a live client report, case studies with starting numbers and references you can call, and it never guarantees rankings.

Who owns my Google Analytics and Business Profile if I leave an SEO agency?

You do, if they were created under your business email. If the agency created them, get ownership moved before giving notice.

Should I hire an SEO freelancer or an agency?

A freelancer for one defined job on one site. An agency when content, links, technical and local work all need doing together.

Start With Three Questions

Ask every agency for last month’s client report, whose name is on the accounts, and how you leave. That settles most shortlists.
